How to: Export items to a personal folder (.pst file) in Outlook on Windows


Introduction

Click File > Open & Export > Import/Export > Export to a file > Next > Outlook Data File (.pst) > Next. Choose your folders, and click Next. Then click Browse to search for a location to save your file and name it. Choose the desired settings and click Finish.

Instructions

1) Click the File tab.

2) Click Open & Export, then click Import/Export.

3) Choose Export to a file. Then, click Next.

4) Choose Outlook Data File (.pst). Then, click Next.

5) Choose the folder you want to export. Then, click Next.

NOTE: Check the box next to Include subfolders if you want to include the subfolders.

6) Fill out the following information. Then, click Finish.

  • Click the Browse button to search the location where you wish to save the file, and give the file a name. You may choose an existing .pst file here or make a new one.
  • Choose whether you want to replace, allow, or not export duplicate items.

7) Set an optional password. Then, click OK.

NOTE: You will need to know this password later if you wish to open or import the .pst file again.

OUTCOME

The folder(s) you selected will now be exported to a .pst file. You can retain the file for later importing, opening in Outlook, or open in other software.
